Persoonsgegevens die wij verwerken
Talumis verwerkt je persoonsgegevens doordat je gebruikmaakt van onze diensten en/of omdat je deze zelf aan ons verstrekt. Hieronder vallen onder andere je IP-adres (bij het bezoeken van de website), je naam, e-mailadres en eventueel telefoonnummer (bijvoorbeeld bij het contactformulier of het downloaden van software), gegevens die nodig zijn voor je licentie of ondersteuning, of andere gegevens die je aan ons verstrekt (bijvoorbeeld bij een sollicitatie).
Bijzondere persoonsgegevens en gegevens van kinderen
Talumis vraagt niet om bijzondere persoonsgegevens, zoals gegevens over gezondheid, religie, etnische afkomst of strafrechtelijke gegevens, en verwerkt deze niet bewust. Stuur deze gegevens daarom niet mee, bijvoorbeeld in je cv of in een bericht via het contactformulier.
Onze website en/of dienst heeft niet de intentie gegevens te verzamelen over websitebezoekers die jonger zijn dan 16 jaar, tenzij zij toestemming hebben van een ouder of voogd. We kunnen echter niet controleren of een bezoeker ouder dan 16 is. Wij raden ouders dan ook aan betrokken te zijn bij de online-activiteiten van hun kinderen, om zo te voorkomen dat er gegevens over kinderen verzameld worden zonder ouderlijke toestemming. Voor het uitvoeren van overeenkomsten verwerkt Talumis mogelijk ook in andere systemen dan op de website persoonsgegevens zoals naam en e-mailadres. Dit is bijvoorbeeld van toepassing bij het gebruik van andere diensten zoals ons licentieportaal (TPortal) of ons helpdesksysteem (TDesk). De grondslag hiervoor is de uitvoering van de overeenkomst. Zonder deze gegevens kunnen wij je geen (proef)licentie verstrekken en geen ondersteuning bieden. De bewaartermijnen staan in de tabel hierboven.
Geautomatiseerde besluitvorming
Talumis neemt niet op basis van geautomatiseerde verwerkingen besluiten over zaken die (aanzienlijke) gevolgen kunnen hebben voor personen. Het gaat hier om besluiten die worden genomen door computerprogramma’s of -systemen, zonder dat daar een mens (bijvoorbeeld een medewerker van Talumis) tussen zit.
Delen van persoonsgegevens met derden
Talumis verkoopt je gegevens niet aan derden en verstrekt deze uitsluitend als dit nodig is voor de uitvoering van onze overeenkomst met je, voor de sollicitatieprocedure (zie Sollicitaties) of om te voldoen aan een wettelijke verplichting. Met bedrijven die je gegevens verwerken in opdracht van ons, sluiten wij een verwerkersovereenkomst om te zorgen voor eenzelfde niveau van beveiliging en vertrouwelijkheid van je gegevens. Talumis blijft verantwoordelijk voor deze verwerkingen.
Wij schakelen verwerkers in voor onder meer IT- en clouddiensten (Microsoft 365 en Microsoft Azure) en ons helpdesksysteem.
Sommige van deze leveranciers zijn gevestigd buiten de Europese Economische Ruimte (EER), of maken gebruik van subverwerkers daarbuiten, bijvoorbeeld in de Verenigde Staten.

Cookies, of vergelijkbare technieken, die wij gebruiken
Talumis maakt gebruik van cookies om de functionaliteit van bepaalde pagina’s van de website te optimaliseren. Cookies zijn kleine tekstbestanden die door een pagina van de website op de computer van de bezoeker worden geplaatst. Je kunt zelf bepalen hoe er met cookies wordt omgegaan, via de cookie-instellingen op onze website of via de instellingen van je browser (toestaan, weigeren of per website instellen).
Talumis maakt gebruik van Matomo om te analyseren hoe gebruikers de website gebruiken. Gegevens inzien, aanpassen of verwijderen
Je hebt het recht om je persoonsgegevens in te zien, te corrigeren of te verwijderen, en om de verwerking ervan te laten beperken. Daarnaast heb je recht op gegevensoverdraagbaarheid. Verwerken wij gegevens op basis van je toestemming, dan kun je die toestemming altijd intrekken. Dit heeft geen gevolgen voor de verwerking die al heeft plaatsgevonden.
Recht van bezwaar. Verwerken wij je gegevens op basis van gerechtvaardigd belang, dan kun je op elk moment bezwaar maken op grond van je specifieke situatie. Wij stoppen dan met de verwerking, tenzij wij dwingende gerechtvaardigde gronden hebben die zwaarder wegen dan jouw belangen.
Je kunt een dergelijk verzoek sturen naar privacy@talumis.com. We reageren zo snel mogelijk, en in ieder geval binnen één maand, op je verzoek. Bij complexe of veel verzoeken kunnen we deze termijn met twee maanden verlengen; dat laten we je dan binnen de eerste maand weten. Om te voorkomen dat iemand anders jouw gegevens opvraagt, kunnen we je vragen je te identificeren. We vragen daarbij niet om een kopie van je identiteitsbewijs.

Hoe wij persoonsgegevens bewaren en beveiligen
Wij bewaren je gegevens niet langer dan noodzakelijk is voor het doel waarvoor ze zijn verzameld, tenzij een wettelijke bewaarplicht ons verplicht ze langer te bewaren. De bewaartermijn per categorie gegevens staat vermeld in de tabel hierboven; voor overige categorieën hanteren wij de termijnen uit ons interne bewaarbeleid. Dit beleid wordt regelmatig geëvalueerd en valt onder de audit van onze ISO27001:2022-certificering. Voor specifieke vragen over dit beleid kun je contact opnemen met privacy@talumis.com.
Talumis neemt de bescherming van je gegevens serieus en neemt passende maatregelen om misbruik, verlies, onbevoegde toegang, ongewenste openbaarmaking en ongeoorloofde wijziging tegen te gaan. Hieronder vallen versleuteling van gegevens (in opslag en tijdens transport) en toegangsbeperking en -controle. Als je de indruk hebt dat je gegevens niet goed beveiligd zijn, of er aanwijzingen zijn van misbruik, neem dan contact op via privacy@talumis.com.
Sollicitaties
Door je sollicitatie ontvangen wij de gegevens die je zelf aanlevert, zoals je naam, contactgegevens, cv en motivatiebrief. Als onderdeel van de sollicitatieprocedure kunnen wij een online screening uitvoeren. Deze screening voeren we uit op basis van de AVG-grondslag “gerechtvaardigd belang” en beperkt zich tot openbare professionele informatie, zoals je LinkedIn-profiel. Ons belang is te beoordelen of je geschikt bent voor de functie. Je kunt hiertegen bezwaar maken. De bewaartermijn voor deze gegevens staat vermeld in de tabel hierboven. Willen we je gegevens langer bewaren voor toekomstige vacatures, dan vragen we je daar apart toestemming voor.
We geven je gegevens niet door aan derden voor commerciële doeleinden. Alleen derden die ons helpen bij het vinden van nieuwe collega’s kunnen toegang krijgen tot (delen van) je gegevens; wij en zij houden zich daarbij aan dezelfde regels rond zorgvuldige omgang met je informatie. Personal data we process
Talumis processes your personal data because you use our services and/or because you provide it to us yourself. To perform contracts, Talumis may also process personal data such as name and email address in systems other than the website. Automated decision-making

Sharing personal data with third parties
Talumis does not sell your data to third parties and only shares it where this is necessary to perform our contract with you, for the application procedure (see Job applications), or to comply with a legal obligation. With companies that process your data on our behalf, we conclude a data processing agreement to ensure the same level of security and confidentiality of your data. Talumis remains responsible for this processing.
We engage processors for, among other things, IT and cloud services (Microsoft 365 and Microsoft Azure) and our helpdesk system.
Some of these suppliers are established outside the European Economic Area (EEA), or use sub-processors outside the EEA, for example in the United States.

Right to object. Where we process your data based on legitimate interest, you may object at any time on grounds relating to your particular situation. We will then stop the processing, unless we have compelling legitimate grounds that override your interests.
You can send such a request to privacy@talumis.com. We will respond to your request as soon as possible, and in any case within one month. For complex or numerous requests, we may extend this period by two further months; if so, we will inform you within the first month. To prevent someone else from requesting your data, we may ask you to verify your identity. We will not ask for a copy of your identity document.

How we store and protect personal data
We do not keep your data longer than necessary for the purpose for which it was collected, unless a statutory retention obligation requires us to keep it longer. The retention period per category of data is listed in the table above; for other categories we apply the periods set out in our internal retention policy. Talumis takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. These include encryption of data (at rest and in transit) and access restriction and control. Job applications
When you apply, we receive the data you provide yourself, such as your name, contact details, CV and cover letter. As part of the application procedure, we may carry out an online screening. We carry out this screening on the GDPR legal basis of “legitimate interest”, and it is limited to public professional information, such as your LinkedIn profile. Our interest is to assess whether you are suitable for the position. You can object to this. The retention period for this data is listed in the table above. If we would like to keep your data longer for future vacancies, we will ask for your separate consent.
We do not share your data with third parties for commercial purposes. Only third parties that help us find new colleagues may have access to (parts of) your data; both we and they follow the same rules on handling your information with care. If you apply through a recruitment agency, that agency is itself responsible for processing your data and its own privacy statement applies. For the data we receive from the agency, the same applies as when you apply to us directly.
Changes
Technological developments, legislation or changes in business processes mean that we update this privacy statement from time to time. The privacy statement is reviewed at least once a year and amended where necessary. The date at the bottom of the statement shows when it was last updated.
